I would perhaps just write a newsletter to the parents and let them know of a couple of the activities the students will be participating in. This way you save on paper and copying costs and the parents still have info.
Most parents wouldn't look through an entire package of info.

With the umbrellas - just check them ahead of time that they do not have pointed ends at the top as those could poke eyes, etc., by accident.

I think you have everything else pretty much organized.

I also really liked the post that mentioned the teachers not being supervisors - if you can do that great - if not try to have

at least 2 teachers not being supervisors who could handle any little emergencies, organizing, etc.,

If your school has walkie-talkies you might also want to bring along a couple for the supervisors if you know ahead of time that your students will be in different groups. This way they could contact you or another supervisor if there are problems.

If you do need to break up in groups - you might want to organize the groups ahead of time. Discuss this with the other teachers - sometimes it's nice to mix up classes and students to give them a chance to be with others. And sometimes it's nice for teachers to have other students just for a break.

Also you should make a decision now on whether or not children can ride with their parents if the parents are coming by car. Personally I don't think it's a problem - but make sure that other children do not go along unless a parent has given a signed permission slip for this.
