seeing an administrator

I explained my situation and the questions I had to the secretary, and she went in to the administrator's office to see if she could get some answers. Since it turned out the administrator had some questions for me (my file
was missing some information), I ended up having a short meeting with her.

If my file had been complete, I think the secretary could probably have given me all the information I needed about the process. I don't think I would have asked to meet with the administrator unless I thought I wasn't getting the answers I needed from the staff.

Regarding your other question, I would suggest

going now, if you can possibly spare the time between your other jobs. In my district, they've been interviewing since May, and although they tell me they'll continue until school starts and maybe even after, it stands to reason that you have a better chance if you throw your hat into the ring earlier.
