I'm agreeing with tia - if you write a big explanatory letter it will become a big deal, and you want it to be less noticed. Her idea of a year end letter, included with other tidbits, makes it seem matter-of-fact and casual. We know it ISNT casual for you, but you just want to stop speculation and rumor with a calm, reasonable, and short note. Good luck to you.
